I / We hereby agree to abide by the rules & regulations attached and agree to pay all charges before taking possession of the stand.
Rules and Regulations for Participation
Participation
Applications for participation must be submitted in the prescribed form. Approval of participation and exhibits is at the sole discretion of TASHIKKA TRADE FAIRS LIMITED.
Allocation of Space
Space allocation will be on a first-come, first-served basis, subject to receipt of the completed application form and an advance payment of 50%. The remaining 50% must be paid in full at least 15 days prior to the start of the exhibition.
Failure to make payments as specified will result in cancellation of the booking, and the advance payment will be forfeited.
Possession of Space
Space possession will only be granted upon receipt of full payment, including charges for space, electricity, water, and any other applicable fees.
Stall Allocation
While every effort will be made to allot the stall originally booked by the exhibitor, the organizer reserves the right to modify the floor plan or relocate the exhibitor's stall to meet organizational requirements.
Transfer of Rights
Exhibitors are not allowed to assign or share any part of their contracted space without prior written consent from the organizer.
Stall Care
Exhibitors must ensure the flooring, walls, and other structures are protected during stall decoration and when bringing in or removing materials. Instructions provided by the organizer must be followed.
Safety Measures
Hazardous or flammable materials are strictly prohibited. Exhibitors must implement adequate safety precautions within their stalls.
Damage Liability
Exhibitors are liable for any damages caused to stall structures, flooring, or other facilities due to negligence and must compensate the organizer for repair costs.
Promotional Activities
All advertising, promotions, demonstrations, and sales activities must be confined within the exhibitor's allocated stall and conducted at low volume to avoid disturbance.
Cancellation by Exhibitor
If the exhibitor cancels their stall booking, the advance payment made will be forfeited.
Stall Decoration
Stall interior decoration must be completed before the event's inauguration.
Stall Clearance
Exhibitors must vacate their stalls within 12 hours of the exhibition's closure. The organizer is not responsible for stall security after the exhibition ends.
Breach of Contract
If the exhibitor breaches the terms of this contract and fails to rectify it upon receiving written notice, the organizer may terminate the contract, repossess the stall, and retain the advance payment.
Compliance with Regulations
Exhibitors must comply with all applicable safety, fire, environmental, labor, and hazardous materials regulations during pre-exhibition, exhibition, and post-exhibition periods.
Fire Prevention
Exhibitors are required to maintain fire safety equipment within their stalls.
Insurance
Exhibitors must insure their exhibits and materials against loss, damage, theft, fire, or other risks. Third-party insurance for the setup, exhibition, and dismantling periods is also mandatory.
Set-Up Dates
Set-up will be allowed on 10th and 11th November 2025. Forklift services will be provided free of cost on 10th November 2025 only.
Compressed Air
Compressed air will not be provided by the organizer. Exhibitors must arrange their own compressors if required.
Exhibitor Badges
Two exhibitor badges will be provided for every 9 sqm of booth space.
Jurisdiction
Disputes arising from participation in the exhibition will fall under the jurisdiction of the courts in Nairobi, Kenya.
Force Majeure
In cases of force majeure, including strikes, lockouts, riots, or other unforeseen circumstances, TASHIKKA TRADE FAIRS LIMITED reserves the right to change the event dates, duration, or cancel the exhibition entirely.
If the exhibition is canceled, stall rentals will be refunded after deducting incurred costs. The organizer is not liable for any consequential losses.
Binding Agreement
This document, along with any signed attachments, constitutes the entire agreement between the organizer and the exhibitor, superseding all prior negotiations or agreements.
Prevailing Terms
These terms and conditions take precedence over any conflicting terms in other documents submitted by the exhibitor.
